Create a Video SOP Using the Desktop Chrome Extension

How to use the GembaDocs Chrome extension to record an on-screen process, let the AI generate a step-by-step video SOP, then edit, annotate, and publish it – by link, QR code, or print.

Step 1: Open the SOP tab and tap the plus button

Go to the SOP tab in GembaDocs. Tap the plus button in the top left corner.

You’ll see four options. Select Video SOP.

Step 2: Install or launch the Chrome extension

You’ll be prompted to Use Chrome Extension.

If you haven’t installed it yet, the button will read Install Chrome Extension. Click it. It takes a few seconds.

Step 3: Run the audio test

Before you start recording, GembaDocs runs an audio test. This matters because the AI uses your voice to build the step descriptions. Make sure your mic is working.

Step 4: Read the recording tips

A few things to keep in mind before you hit record:

  • The maximum recording length is 20 minutes.
  • Narrate as you go. The AI listens to your voice and uses it to identify and describe each step.
  • Use clear transition phrases like “First I’ll click on…” or “Now I’m selecting…” This helps the AI split your recording into clean, distinct steps.

Step 5: Choose your screen or tab and start recording

Select which screen or tab you want to capture, then hit Start.

You’ll hear loud beeps before recording begins. Once it starts, the timer at the top turns red.

Step 6: Walk through the process

Talk through what you’re doing as you do it. Demonstrate each action clearly and keep your narration matched to what’s happening on screen.

It will automatically split your recording into steps and create a structured SOP from your narration.

Step 7: Finish recording and edit

When you’re done, you get two editing options before the video uploads:

  • Trim – remove anything at the beginning or end you don’t want included.
  • Blur – cover anything confidential or sensitive on screen so it’s not readable.

When you’re happy, the video uploads to the cloud for processing.

Step 8: Wait for processing

The system generates thumbnails and breaks the video into steps. This takes a short while depending on the length of your recording.

Step 9: Refine your SOP

Once processing is complete, you’ll land on the editing screen. Here you can:

  • Edit step thumbnails – open any thumbnail to add arrows, highlights, or annotations. You can also choose an alternative thumbnail from the video if the auto-selected frame isn’t the best one.
  • Update step descriptions – if the AI-generated text isn’t quite right, edit it directly.

Step 10: Save and publish

Once everything looks good, save the SOP.

The finished SOP shows the step description alongside the video, making it easy for anyone to follow. They can skip through steps to find exactly what they need, then play that section for the full context.

You also get:

  • A step-by-step printable SOP with all steps included.
  • A shareable link.
  • A QR code for shop floor or point-of-use deployment.
