Lesson Detail

The Lesson

GembaDocs has two Kanban card templates. Before you create a card, it’s worth knowing which one fits your situation. Here’s what each includes and how to build one.

Template 1 – The Standard Format

This is the original GembaDocs Kanban card. It’s the most complete option and works well for most operations.

The front includes:

  • Part description and part numbers
  • Supplier details
  • Stock location

The back includes:

  • A barcode
  • Two QR codes – these can link to a supplier ordering page or trigger an email with ordering details

It also comes with a pull card and a full range of bin labels.

Size options run from credit card up to full page, so you can match the card to your bin or shelf format.

Template 2 – The Writable Format

Template 2 looks different from Template 1 and has one key advantage: the back is left blank so you can write on it.

Use this when you need to track:

  • Order dates and delivery dates
  • Purchase order numbers
  • Any other purchase history you want logged by hand

It comes in a single size only and includes its own set of bin labels.

How to Create a Kanban Card

The process is the same on desktop and mobile.

Step 1 – Open the Kanban tab

From your GembaDocs dashboard, go to the Kanban tab and hit Create New.

Step 2 – Choose your template

Select Template 1 or Template 2 based on what you need.

Step 3 – Add your card details

Fill in:

  • An image if you have one
  • Part description and part number
  • Supplier details and stock location
  • An ordering URL – this can be a supplier website or a link to an SOP, which works well for production commands

Step 4 – Configure your QR code

You can set up a QR code to send a standard email when scanned. This is useful for triggering re-orders without anyone needing to log into a system.

Step 5 – Generate your card

Fill in the remaining fields and hit generate. Your card is ready to print.
