QR Codes Explained: PDF, Secure App, and Folder

GembaDocs has three types of QR codes for accessing SOPs on the shop floor. The PDF QR code opens an SOP instantly with no login – good for shared spaces and visitors. The secure app QR code requires login and gives operators full functionality, including step-by-step tracking. Folder QR codes let operators scan once and pull up every SOP tied to a job or piece of equipment.

PDF QR Code

This is the quickest option for getting operators to an SOP.

Anyone can scan it. No login, no app – it opens the SOP directly as a PDF.

Use this when:

  • You have shared workstations where multiple people need access
  • External users or visitors need to see the document
  • Speed of access is the priority and tracking isn’t needed

Secure App QR Code

This one requires login credentials before the SOP opens.

Once in, operators work through the SOP inside the GembaDocs app with full functionality – step-by-step guidance, tracking, and any other features you have set up.

Use this when:

  • You need to control who can access a specific SOP
  • You want a record of who completed what and when
  • Operators are working through a process and need to confirm steps

Folder QR Code

One scan, full access to every SOP in a folder.

Place this on a machine, a workstation, or a job pack and operators can pull up all the relevant SOPs for that job or that piece of equipment in one go – no searching, no navigating.

Use this when:

  • A single job or machine has multiple SOPs attached to it
  • You want to make access as fast as possible at the point of use
