The core principle behind SOP deployment is this: put the answer where the question is being asked.

If an operator has to stop and go searching for a standard before they can do the job, you’ve already introduced waste. The SOP loses value before it’s even opened.

GembaDocs gives you three main deployment methods. Here’s how each one works and when to use it.


Option 1 – Print Your SOPs

Printing is still a solid choice in the right situation. It’s ideal when you have:

  • Shared workstations with multiple people doing the same task
  • Processes that don’t change very often
  • Areas where devices or logins aren’t practical

The advantage is simple – instant access at the point of use, no friction, no technology required.

On the shop floor, this might mean placing printed SOPs at machines or posting them near cleaning stations. Anyone can follow the standard without needing to find a device or log in.

The trade-off is version control. If the process changes, you need to reprint and replace. For stable processes, that’s rarely a problem. For anything that changes regularly, digital is a better fit.


Option 2 – Deploy SOPs Digitally Using Links

Digital deployment gives you a lot more flexibility. In GembaDocs, you can:

This one requires login credentials and opens the SOP inside the app with full functionality. Use this when you need:

  • Controlled access to specific SOPs
  • Operators interacting with the step-by-step view
  • Tracking or task completion records

You can also place these QR codes directly onto paper documents like work orders or job packs, so the digital SOP is always one scan away from the physical job.

Folder QR code

One scan opens an entire folder of SOPs for a specific job or piece of equipment. This is useful when operators need access to multiple related standards without navigating through the app.

You don’t have to pick just one method. The goal is to match the deployment to the situation:

  • Inside a system or tool – use a direct link
