Upload an Existing PDF SOP

GembaDocs lets you upload existing PDFs directly into your SOP library without rebuilding anything. Word documents, manuals, risk assessments – if you can save it as a PDF, you can bring it in. Once uploaded, your document sits alongside your other SOPs and is searchable and shareable straight away. It’s the fastest way to get your existing documentation into one place.

The Lesson

Step 1: Go to the SOP tab

Open GembaDocs and tap the SOP tab.

Hit the plus button in the top left corner.

Step 2: Select “Upload PDF”

From the options that appear, choose Upload PDF.

You can upload any document you’ve saved as a PDF – word documents, Excel files, PowerPoint decks, risk assessments, equipment manuals. If you can export it as a PDF from wherever it lives, GembaDocs can take it.

Step 3: Choose your file

Select the file from your device.

GembaDocs imports it immediately. No waiting, no formatting required.

Step 4: Share or deploy

Once uploaded, your PDF sits in your SOP library alongside everything else you’ve built in GembaDocs. From there you can:

  • Share it via a direct link
  • Deploy it using a GembaDocs QR code
  • Bookmark it for quick access on the shop floor

The document becomes searchable and shareable right away. Operators can find it the same way they’d find any other SOP in the system.
