Create a Standard SOP in the GembaDocs Mobile App

Learn how to build a standard SOP directly from your phone using the GembaDocs mobile app. This guide walks operators and managers through adding photos, annotations, and step descriptions – including how to use AI to clean up voice-to-text entries.

The Lesson

Building a standard SOP on your phone takes just a few minutes. Here’s exactly how to do it.

Step 1: Open the SOP tab and tap the plus button

You’ll find the plus button in the bottom right corner. Tap it and you’ll see three options. Select Standard SOP.

Step 2: Enter a title for your SOP

You’ll also see advanced options on this screen. Skip those for now — they’re covered separately in the Academy. Once you’ve entered your title, tap Add First Step.

Step 3: Choose how to create your first step

You get three options:

  • Camera — take a photo of the process step on the spot
  • Gallery — upload an image you’ve already taken
  • Text only — no image, just a written description

You can also add a short video clip, up to one minute long.

Step 4: Annotate your image

Once you’ve added a photo, you can zoom in and out and annotate it directly in the app. There are several annotation tools built in and they’re straightforward to use.

Step 5: Describe the process step

Type it out or use voice to text and just talk through what you’re describing. The app captures everything.

If you used voice to text, tap Polish with AI. It will give you a few cleaned-up versions of your description. Pick the one that reads best.

Step 6: Add the next step and repeat

Tap Next Step and go through the same process for each step in the procedure until your SOP is complete.

When your SOP is done, you can:

  • Print it in full
  • View it step by step on screen
  • Share it via QR code posted at the workstation
  • Send a direct link to whoever needs it
